Clausey for Vendor Management

Every vendor, fully on file. Every renewal, seen coming.

Every vendor, contact, contract, and certificate in one record — onboarding documents read on upload, lapsing insurance and unsigned DPAs flagged weeks ahead, and every answer cited to the page.

The problem

What vendor management teams live with today.

Vendor files live in six places

W-9s in email, insurance certificates in a shared drive, the MSA in the CLM, and the contact who signed it in someone’s head.

Expired certificates go unnoticed

A certificate of insurance lapses quietly. You find out when there’s a claim, not when it expired.

Onboarding is a relay race

Every new vendor means chasing the same seven documents by email, then re-keying them into a spreadsheet.

How Clausey does it

The same engine, tuned for vendor management teams.

One record per vendor

Contacts, agreements, certificates, and open tasks together in a MicroCRM record — every document read on upload and every field cited to its page.

Document completeness rules

Missing W-9, lapsed COI, or unsigned DPA flagged critical the day it happens, not at audit. Deterministic rules, same verdict every time.

Renewal and expiry reminders

Email and SMS nudges to the vendor contact and the internal owner before every renewal window and certificate expiry.

Ask across your vendor base

“Which vendors’ insurance expires in Q1?” — the list in seconds, with each certificate cited.

FAQ

Questions, answered.

Can Clausey track vendor contacts as well as contracts?
Yes. Each vendor is a record with its contacts, agreements, certificates, and open tasks together, so the person who signed the MSA sits next to the MSA instead of in a separate address book.
How does Clausey catch an expired certificate of insurance?
Clausey reads the expiry date off every certificate on upload and runs a rule against it nightly. A lapsing certificate becomes a flagged task with a reminder to the vendor weeks ahead, rather than a surprise at claim time.
Does this replace our procurement review?
It sits beside it. Procurement checks the contract against your risk standard on upload; vendor management keeps the relationship current afterwards — documents, contacts, renewals — on the same engine.
